Terms and Conditions – The Held Space

‘The participant’ refers to the person who is booked on our retreat, whether that booking is made by themselves or another party. ‘The Held Space’, ‘we’ and ‘us’ refers to The Held Space Limited, company registration number 15557518.

These Terms and Conditions outline the guidelines and expectations for participants attending any retreat or event held by The Held Space. By registering and participating, you agree to abide by these Terms.

1. Registration and Payment:

1.1. To secure your place, participants must complete the registration process and make the required payment as specified on our website – www.thheldspace.co.uk

1.2. Payment is non-refundable, except as outlined in the Cancellation Policy (Clause 4).

2. Retreat Content:

2.1. The retreat content is designed to provide healing, self-discovery, and personal growth. Participants are encouraged to actively engage and respect the group dynamics.

2.2. All retreat materials, sessions, workshops, and content are the intellectual property of the organisers and may not be reproduced or shared without explicit permission.

3. Code of Conduct:

3.1. Participants are expected to treat all attendees, organisers, and staff with respect, empathy, and kindness.

3.2. Harassment, discrimination, and disruptive behaviour will not be tolerated and may result in immediate dismissal from the retreat without refund.

4. Cancellation and Booking Policy:

4.1. When you receive your booking confirmation, you should check the details carefully. If anything is incorrect, you must tell us immediately. We cannot be held liable for any mistakes that arise from providing incorrect booking details. Receipt of your deposit confirms your acceptance of all the terms and conditions.

 

The participant booking their retreat place (or the third party on their behalf) shall be liable for the reservation of and payment for the retreat. We require an initial deposit of 20% of the full price due at the time of the booking to secure your booking.

 

We require a balance payment of the remaining 80% at least eight weeks before commencement or, if there is less than eight weeks to go at the time of booking, it shall be paid in full at the time of the booking. The payment is non-refundable. Payments can be paid by electronic transfer or by debit card over the telephone.

 

Non-payment of the balance on or after the due date may be construed as a cancellation of the contract by the customer. Cancellation by the customer: If a cancellation is notified to us in writing up to eight weeks prior to the booking, 100% of the booking (retreat place) fee will be charged. However, every effort will be made by us to full your place. If this happens we will refund you commensurate with the fee realised at point of sale.

 

We strongly recommend that customers take out cancellation insurance. Cancellation by the owner: Your booking is accepted on the understanding that your retreat place will be put at your disposal on the date agreed with us. Should this not be possible due to circumstances beyond our reasonable control, we cannot guarantee to provide an alternative venue. In this case the fee you have paid will be returned to you in full and you will have no further claim against us

 

If you cancel

4.2. Requests for cancellations must be submitted in writing to the retreat organisers.

5. Changes and Cancellations by Organisers:

5.1. The organisers reserve the right to make changes to the retreat schedule, speakers, or content as and when needed, ensuring the best experience for participants.

5.2. In the unlikely event of the retreat being cancelled by the organisers, participants will receive a full refund of the paid amount.

6. Health and Wellbeing:

6.1. Participants are responsible for their physical and mental wellbeing during the retreat and afterwards. Should you require extra support (outside of the Retreat Schedule) whilst on the retreat please contact the Client Concierge (see information on the Contact page of our website) ..

6.2. If participants have any underlying medical or psychological conditions, they should inform the retreat organisers prior to booking.

6.3. Our retreats are not suitable for those who are a risk to themselves, or others.

7. Substance and alcohol abuse

7.1. Alcohol and substance abuse will not be tolerated at The Held Space.  You will be able to smoke cigarettes / vape in the grounds.

8. Photography and Media:

8.1. Participants acknowledge that the retreat may be documented through photography, video recording, or other media. By attending, participants grant the organisers permission to use such media for promotional purposes, unless you explicitly opt out. If you wish to do this, please inform us. As organisers, we agree that any media is devoid of information which may identify participants.

9. Confidentiality and Data Protection:

9.1. Participants agree to maintain the confidentiality of all personal information and experiences shared during the retreat. Sharing such information with third parties is strictly prohibited.

9.2. The organisers will collect and process personal data in accordance with applicable data protection laws. Participants' data will be used solely for retreat / event related purposes and will not be shared with external parties. If you wish to opt out, please see our privacy policy.

10. Force Majeure:

10.1. The organisers shall not be liable for any failure or delay in the performance of their obligations under these Terms if such failure or delay is due to causes beyond their reasonable control, including but not limited to acts of nature, government restrictions, or unforeseen circumstances.

11. Travel Insurance:

11.1. Participants are advised to take out cancellation/ travel insurance covering cancellation and any medical, travel, or personal emergencies that may arise during their participation on the retreat. The organisers are not responsible for any costs incurred due to unforeseen events.

12. Anonymity Clause:

12.1. Participants are encouraged to share their experiences openly and honestly during the retreat and afterwards. However, we ask that you respect everyone’s privacy and to withhold the identity of your fellow guests from public discussions.

13. Liability:

13.1. Participants acknowledge that their participation in the retreat is voluntary and that the organisers are not responsible for any injuries, losses, or damages.

14. Governing Law:

14.1. These Terms and Conditions shall be governed by and construed in accordance with the law of England and Wales.
